The Admin Manager is based on site and is a key team member to enable the smooth running of the Leidos Contract with the Authority and forms 50% of the role. 

This remaining 50% of your time will be spent providing administration support to the Renewals Team and will work with the Renewals Team Engineer, for training, direction and daily tasks to support the Renewals function.

This is a busy office based role, on a customer site close to Huntingdon and St Ives.  There may also be some flexibility in working hours (either slightly shorter days or 4 rather than 5 days per week).

PMO/Office Management areas of responsibility include:

  • Working with Leidos Team to Book visitors onto Site and liaising with IMaGE and Security to make sure the right access passes are available

  • Requesting of clearance details for access to sensitive areas of site

  • Arranging room bookings, where site attendees do not have access to the booking system

  • Arranging meetings, where site attendees do not have access to tools to book, themselves

  • Oversee office and maintenance to ensure smooth running to support operations

  • Liaise with building custodian on matters such as access, security, issues, ad hoc requests

  • Updating occupancy list for fire register and building custodian information

  • Liaise with Security regarding renewal of site pass/issue of new pass for Leidos Contract Team

  • Read on and off  appointments’ in PfB – raising relevant paperwork/documents, sending out and submitting

  • Perform ad hoc tasks to ensure the smooth running of the Leidos business requirements

  • Send SAL (Security Aspects Letter) to new employees and additional colleagues coming to work on the Programme, then if required, provide access to the Share Point site

  • Attend meetings, as required

Renewals Administration areas of responsibility include:

  • Working with the Renewals Team Engineer and the License Manager to assist with the renewals purchasing, to include software, hardware, support and associated agreements.

  • Complete customer documentation and seek approvals to proceed with internal and external stakeholders.

  • Raise purchase requests to seek quotes and process requirement through Procurement.

  • Assist with the delivery of goods onto site and onward delivery to the Asset Manager and License Manager.

  • Attend meetings with renewals team and customer.

  • Accurately maintain documents to ensure they are up-to-date

Personal Skills & Qualities

  • Must be able to demonstrate organisation skills

  • Must have experience in communicating with people at all levels, with a friendly and approachable manner

  • PC skills - MS Office, especially Excel, Word and Outlook

  • Must be confident to engage in person and over the phone, with internal colleagues and external stakeholders

  • Ability to multitask and work across multiple platforms

  • Strong communication and interpersonal skills – both verbal and written

Training will be provided where necessary on any Leidos proprietary tools and processes.
